An assistant that answers only from your approved material, remembers the version, and never invents policy.
When the material is silent, it says so.
It does not answer from chat history, learn from unreviewed feedback, or invent a company position when the sources are silent. It names the gap and routes the question to someone who can close it.
There is no approved guidance on fee waivers for nonprofits. The pricing policy covers discounts, credits and waived fees generally and says reps may not offer them; it does not address nonprofit status.

A person decides what the company considers correct.
Collect real questions. Review answers. Verify guidance. Reuse approved material. “Helpful” is a signal from the asker, never an approval. Approval is a deliberate, audited publication step, and the model has no tool that can perform it.
Ask
A manager asks a question the material half-answers. Retrieval runs as the asker: approved guidance, then published lessons, then documents.
Answer or name the gap
Citations and versions, or an honest “no approved source, here is the gap.”
Request and verify
The manager requests an official answer. An admin checks the policy and writes the response. Specifics are stripped.
Approve and reuse
Approved as reusable guidance, audience-scoped. Retrieved first the next time anyone asks.
Permission-aware to the row
Retrieval runs as the asker under the same row-level security as everything else. A manager cannot be shown a document their role cannot read, and the model cannot widen that. A prompt injection inside a document cannot expand access either.
Nothing stale
Every answer records its sources and their versions. If a source changes while an answer is being written, the turn fails safe and asks for a retry. Edit a source and every answer that cited it drops out of context.
Rep access is your switch
Off by default. Turn it on when your review queue is staffed and you have decided who answers rep questions, which collections reps may read, and how retention is explained to them.
